Set up uKeep for HubSpot
App: uKeep · Developer: Willowcy
uKeep sends the business cards you scan to HubSpot as contacts, with your notes. Each person connects their HubSpot account from the uKeep app; there’s nothing to install beforehand. What uKeep for HubSpot does.
Connect uKeep (each person, once)
- Open uKeep and go to Profile. Under Connected apps, tap Connect next to HubSpot. Or tap Send to HubSpot on any card: uKeep connects first, then sends.
- Log in on HubSpot’s own page, choose your HubSpot account and allow uKeep.
- Back in uKeep, the HubSpot row says Connected, with your HubSpot account’s domain.
Connecting installs uKeep in that HubSpot account, which HubSpot only allows for users with permission to install apps. If you don’t have it, ask whoever manages your HubSpot account.
What gets sent
Each card becomes a contact with the name, company, job title, email, mobile and office phone, website and address read from the card. Details missing from the card are left empty. The lifecycle stage is set to Lead.
The newest note on the card is added as a Note on the contact’s timeline, dated when you send it and signed From uKeep. A card without a note sends no Note.
If the card has a company, a new contact is associated with the HubSpot company of exactly that name. If there isn’t one, uKeep creates it, with the card’s website, if it has one, as its domain.
If a contact already has the same email, uKeep adds the Note to that contact instead of creating a second one, and doesn’t change its details. The app then says Note added to the contact in HubSpot. A card without an email always creates a new contact.
Only the cards you send are sent; nothing goes automatically.
What uKeep can access
- uKeep asks HubSpot to read and write contacts and companies, and nothing else: not deals, tickets, emails or marketing data.
- It reads contacts only to find one with the card’s email, and companies only to find one with the card’s company name. It creates the contact and its company, and adds your Note. It never changes an existing contact’s details.
- Your HubSpot password never reaches uKeep: you log in on HubSpot’s page. uKeep keeps the token HubSpot gives it, encrypted on our servers, so you don’t log in for every card.
- Deleting your uKeep account deletes the connection too.
Disconnecting
In uKeep, go to Profile and tap Disconnect next to HubSpot. uKeep asks HubSpot to revoke its token and deletes it from our servers. Contacts already sent stay in HubSpot.
